Terms and conditions

Thank you for your booking. We are looking forward to working with you and exploring the possibilities for your voice and ongoing vocal health.

These are the terms and conditions for Bristol Voice Care. Please read these carefully taking note of the general policies and those specific to the type of booking you have made. If you have any questions, please don’t hesitate to get in touch via email at jenna@bristolvoicecare.co.uk

GENERAL POLICIES

1. BOOKING CONTRACT

Each booking made through this online portal or via email/telephone/social media communication constitutes a contract between you, the client and Bristol Voice Care. The policies below apply to each booking made regardless of the booking modality. Any specific requirements or conditions for specific services are detailed below and these terms and conditions should be carefully read and noted.

2. PAYMENT

All sessions must be paid in full at the time of booking.

Cancellation, sickness and rescheduling policies apply to all booking types.

No refunds are given for cancellations, but sessions can be rescheduled provided at least 48 hours’ notice is given.

Cancellations or rescheduling requests made fewer than 48 hours in advance of the booked session will be charged in full. Rescheduling a session after this period will require a new booking and payment to be made.

If you need to reschedule your booking please give as much notice as possible.

It is not the fault of Bristol Voice Care if a mutually convenient time cannot be found for rescheduling.

If Bristol Voice Care need to cancel a session for any reason, we will contact you to reschedule the booking with no extra charge.

3. SICKNESS

If you are unwell, please do not come to your session. It is best for your general and vocal health that you rest. Please follow the cancellation guidelines above. In exceptional circumstances, where possible your session may be rescheduled at no extra charge, however, Bristol Voice Care reserves the right to uphold the cancellation charges as outlined in the policy above, even where illness has resulted in cancellation.

If a client arrives showing signs of illness or being unfit to engage in the session for health reasons, Bristol Voice Care reserves the right to refuse entry. In these circumstances the booking and associated charges will be forfeit and a new booking will need to be made when the client has recovered.

4. ATTENDANCE AND TIMINGS

If you are late to your session that time will be forfeit and the session will end at the scheduled time.

Sessions last for 50 minutes unless other arrangements have been made in advance.

5. SESSION CONTENT

As a person-centred, holistic practice, the content of each session will be determined and co-designed between client and practitioner, depending on their specific needs at the time of the session. An integrative approach is used drawing on range of techniques for encouraging healthy, fulfilling vocal use.

It is the client’s sole responsibility to accurately ask for what you need during the sessions.

6. LIMITATION OF LIABILITY

Whilst employing a range of evidence-based strategies in practice and having a proven record of success, Bristol Voice Care provide no guarantee that these will result in changes to your vocal quality, ability or health. The level of progress attainable is also dependent on your own practice and work between sessions.

Bristol Voice Care is not to be held responsible for any change in timbre, tone or quality of the voice as a result of services supplied. It is the client’s responsibility to inform us of any undesirable vocal changes.

Bristol Voice Care does not provide clinical tests or assessments. It is the client’s responsibility to ensure fitness to sing/receive therapy and notify us of any health conditions that may impact our work together. Where vocal rehabilitation is concerned, it is the client’s responsibility to ensure we are kept updated on relevant health matters. This may include conversation/working with other healthcare providers as notified and instigated with the client’s permission and guidance.

It is the client’s responsibility to notify us of any pain or discomfort when partaking in sessions and the strategies suggested. Clients must be aware of the increased risk of vocal injury when using their voices during illness, particularly illnesses of the vocal tract and airways. Clients retain ultimate responsibility for their health and wellbeing during sessions and in private practice.

The practitioner is not responsible for any pain or injury sustained during or after (i.e., when practising exercises) sessions.

You will fill out a clinical assessment form at the start of your process. This is accessed at the time of booking online. It is the client’s sole responsibility to inform of any major medical changes should the appointments be spread over a period of time.

Anything said in sessions is non-medical advice. It is the sole responsibility of the client to follow up a ‘red flag’ with a qualified medical doctor.

If a practitioner is faced with a red flag, treatment may be refused and a referral made.

Bristol Voice Care is fully insured by BGi.UK and Westminster Insurance, with up to £5million in medical malpractice. We are insured for the following: Manual Therapy, Voice Rehabilitation, Vocal Coaching.

7. PROFESSIONAL CONDUCT AND SAFEGUARDING

Bristol Voice Care reserves the right to terminate a session at any time if a client’s behaviour is deemed inappropriate, offensive or unsafe. This may include, but is not limited to, clients who appear intoxicated, those who are verbally abusive, or exhibit violent behaviour. No refund will be offered where sessions are terminated for this reason. Further legal action may be taken where necessary.

If Bristol Voice Care has safeguarding or wellbeing concerns about a client, we reserve the right to inform parents/guardians, local authority, social services and/or the police as appropriate and safe. We will always endeavour to inform and involve you in these processes and continue to provide support as appropriate to our professional relationship.

Under 16s will need to be accompanied by an adult (18+). They may sit in on the session or wait in the adjoining room, as appropriate.

Sessions (not including vocal massage) may be audio or visually recorded to ensure safeguarding, as well as a resource for practice. Whether this takes place will be decided between the clients, practitioner and guardians.

Most sessions are suitable for clients with a range of disabilities and additional needs. The Music Room is accessible to most, however there may be some restrictions. If you feel this may apply to you, please get in touch before booking a session to discuss your needs and how we can accommodate you in the studio.

As a professional vocal health service, Bristol Voice Care commits to delivering the highest quality services. This includes ongoing professional development, training and qualifications, maintaining an up-to-date DBS certificate, professional indemnity and public liability insurance. We will set up a time to have a conversation about moving forward and improving your experience. If you need to speak to someone else about your concerns you can contact the Musicians Union or the local safeguarding authority.

8. DATA PROTECTION

Your personal details will be held in the strictest confidence in line with the General Data Protection Regulations (GDPR) and the Data Protection Act 2018 (DPA 2018). Your data will only be accessible to Bristol Voice Care and will not be shared.

Where clients have come for vocal rehabilitation via clinical referral (e.g., ENT, Speech and Language Therapy, etc) permission will be sought from the client to share information with their healthcare providers and clinicians. It is the client’s responsibility to ensure we are informed about their health and wellbeing needs and any possible contraindications for the services being provided.

All clients are responsible for keeping us informed of any relevant health and wellbeing changes if sessions are taking place over a sustained period of time.

You have the right to access any of your personal data that is held. This will be provided in a timely manner and in electronic format.

Any materials, resources, strategies, or guidance provided for your vocal development remain the intellectual property of Bristol Voice Care, unless widely acknowledged to be in the public domain. They may not be shared or reproduced without prior written permission.

9. RIGHTS TO AMMEND POLICIES AND PRACTICES

Bristol Voice Care reserves the right to amend policies, fees and practices at any time, without notice.
